Project Introduction Privacy Policy

This policy applies specifically to Project Introductions and related materials submitted to Canyon Hill Publishing (“CHP”). It supplements CHP’s general website privacy policy.

Our confidentiality commitment

CHP treats every Project Introduction, writing sample, and related communication as confidential. Within the limits of the law, we do not sell, publish, circulate, or disclose submitted work or associated information for advertising, marketing, or unrelated purposes.

Information we collect

We may collect your name, email address, biography, professional links, project description, writing sample, audience, comparable titles, project status, estimated word count, publishing goals, and other information you choose to provide.

How we use submissions

We use this information only to evaluate potential fit, communicate with you, administer the introduction process, protect CHP’s legal rights, and maintain appropriate business records.

Limited access and disclosure

Access is limited to CHP personnel who reasonably need it. Technology providers may process information only to host, secure, transmit, back up, or administer CHP systems. Disclosure may also occur with your authorization, to confidential professional advisers, or when reasonably necessary to comply with law, prevent fraud, or protect legal rights and safety.

Ownership

You retain ownership of your submitted work. Submission does not transfer copyright or grant CHP publication rights. It also does not create a publishing, fiduciary, agency, or other professional relationship.

Retention and deletion

CHP generally deletes Project Introductions and associated materials within six months when no further discussion is anticipated. In all cases, CHP aims to delete them within 12 months unless you consent to continued consideration, CHP enters discussions with you, or retention is reasonably necessary for legal or administrative purposes.

Security, questions, and deletion requests

CHP uses reasonable administrative and technical safeguards, but no online transmission or storage system can be guaranteed completely secure. Do not submit highly sensitive personal information.
